Business Description:

Village Roadshow, a leading international media & entertainment company, operates in multiple countries with core businesses of movie production, film distribution, cinema, radio and theme parks.

Business Challenge/Problem:

Village Roadshow receives over 5000 applications for cinema customer service positions each year.

Prior to Onetest, all applications were received via email or post to Village’s Head Office or a specific cinema site.  To review and manage the large quantity of applications was a time consuming and highly administrative process as each application needed to be manually collated, read, assessed and short-listed based on the selection criteria.

In order for all applications to be considered, they needed to be forwarded to the relevant cinema site electronically or via post.  The high volume of emails inhibited the cinema’s ability to receive other operational emails efficiently and caused other technological inefficiencies.  The time involved with forwarding applications made tracking applicant numbers hard and caused further delays in the selection of applicants.

All unsuccessful applicants were sent a letter notifying them of the outcome of their application via mail.  This process involved every applicant’s details being manually entered into a spreadsheet and then merging the spreadsheet with a document template.  Letters would then be enveloped, stamped and sent.

All unsuccessful applicants were notified from a central location.  Due to the number of cinema sites and applicants involved there were delays in sending out letters notifying applicants of the result of their application.  Numerous applicants would call Human Resources to find out the status of their application however it was difficult to follow-up enquires as interview notes were not centrally available.

Finally, with a number of application methods it was very difficult to judge how applicants were responding to certain attraction/sourcing strategies i.e. Village Roadshow could not quantify the usefulness of specific advertising mediums in the event that multiple mediums were used concurrently.

There was a significant opportunity to streamline recruitment administration processes if an online tool that improved procedures and decreased required man hours could be implemented.


The Solution:

After identifying the issues at hand, Village Roadshow researched e-recruitment options, eventually choosing to proceed with the Onetest Recruitment Management System (RMS).

Village Roadshow began to utilise the RMS as a company branded resource, taking advantage of the fact it was accessible from anywhere in the world via the internet.  Village Roadshow has been able to utilise additional benefits including:

The Result:

The Onetest RMS has allowed for significant improvements to be made to applicant management which has reduced the previous labour intensive and administrative process.  In particular, the RMS has allowed:

  • An ability to efficiently monitor applicant numbers by individual cinema site, allowing for changes to advertising strategies to be made instantly in cases were poor responses to initial advertising is observed
  • Village is now able to efficiently gain quantifiable data regarding the best advertising mediums for each position advertised e.g. some cinemas had a greater response to Seek advertisements, whilst others did very well with local paper advertising
  • An ability to increase effectiveness of initial screening criteria based on customised screening questions.  This guarantees a fair and consistent approach when short-listing applications for phone interviews
  • A significant reduction in the turnaround time for the administration and distribution of unsuccessful notification to candidates
  • The enhancement of the applicant experience and opinions of Village
  • The enhancement of the Village corporate image through a professionally managed and up-to-date listing of all vacant positions available through the Village Recruitment Careers Centre.
